What is the difference between a bookkeeper and an accountant?
The accountant handles tax and fiscal obligations, such as filing returns; the bookkeeper keeps your financial records accurate, organized, and ready for analysis day to day. What will I have every month?
You'll have your financial information organized and up to date to monitor the health of your business with confidence. That includes cost tracking by project, job, or client, accounts receivable, expenses classified by category, Profit & Loss (P&L), Balance Sheet, Cash Flow, plus information organized to make your accountant's work easier, such as 1099 preparation and the tax estimate.
How does tracking by project or client work?
What you charged for each service, all the expenses, and the hours worked are recorded on the corresponding job, client, or project. That way you see exactly how much came in, how much was spent, how much was left, and how much profit that job generated. You also track how many hours went into each project, making it easy to spot the most profitable services and the ones that need adjusting.
Do I need to change accountants to hire bookkeeping?
No. Bookkeeping complements your accountant's work; it doesn't replace it. We keep your records organized all year long and hand everything over ready at tax season, which usually makes your accountant's work faster with far less back-and-forth.
My records are months behind. Can you catch them up?
Yes, that's called catch-up bookkeeping. Before starting the monthly routine, we rebuild the overdue period: we classify every transaction, redo the reconciliation month by month, and close the reports for the period. Businesses often discover expenses in this process that were never recorded and that lower the tax owed. After the catch-up, you enter the monthly routine with a clean foundation.
Do you work with QuickBooks?
Yes. We set up QuickBooks from scratch (chart of accounts, bank connections, categories, clients, and projects) and also clean up existing files that are disorganized, with duplicate entries, wrong categories, or reconciliations that never closed. If you already use another system, we assess it before proposing any change: the tool should fit your business, not the other way around.
